Oral Session Guideline

The Oral Session will be held mainly in person in the conference rooms at the Yeosu Venezia Hotel & Utop Marina Hotel.

  • Live Zoom broadcast will be available in Plenary Lectures and 4 session rooms (Room1, 2, 3 and 5).
  • Online participants can attend the session live as well.

For a hybrid conference and using an online platform, online presenters are asked to submit the pre-recorded video file.

 

How to prepare your video file?

Presenters should upload their video files (10-13 minutes) through the system
(https://sigongji.iccas.org/program/login/login.aspby September 2023.

Please prepare your video according to the following:

  • FORMAT: mp4
  • DURATION: 10-13 minutes, leave at least 2 minutes for questions
  • SIZE: no more than 150MB (hard limits)
  • ASPECT RATIO: 16:9

When you produce your video, please keep the following in mind:

  1. Be sure that the movement of your laser point (that is, the movement of your mouse cursor) is recorded. Sometimes, even if you move your mouse, it is not recorded.
  2. It is highly recommended that the presenter’s face be also recorded in the video. However, when doing so, please make sure that the camera video does not hide the slides.
  3. Select an appropriate microphone and room/office for optimizing your recording audio quality (you may google “the best way to record a video lecture” for suggestions to minimize reverb and echo).
  4. Be sure to check the volume level of your video.
  5. Open a timer on your second screen or on your smartphone to keep track of the elapsed time.
  6. Most of all, it is important to perform a few tests before recording your final version.
  7. For conversion of your video to reduce the size or the format,  you may use free multi-platform software such as HandBrake (https://handbrake.fr/).

 

How to present your paper?

* Time of Presentation: 15 minutes
The on-site or online presenter should make sure the presentation fits well within the assigned time slot, leaving at least 3 minutes for a period of question-answering. The official language of the presentation is English.

For on-site presenter: You will present your material directly in the conference room.

Presentation Materials

  1. All presenters should prepare the presentation file in Microsoft PowerPoint or Adobe PDF format in English. Please bring a USB memory containing your presentation file.
  2. It is recommended that the presenter save the material to the furnished notebook running Microsoft Windows before the session start. Using your laptop or smart device, as long as it is enabled with an HDMI output connection, it is possible but not recommended.
  3. If your presentation contains animation and short movies, you are advised to check the technical matters before the session.

Audio-Visual Equipment

  1. Each session room will be furnished with a Beam Projector and a Notebook for all presentations. The computers in the session room will be equipped with Microsoft PowerPoint and Adobe Acrobat Reader. To avoid frequently occurring technical problems in the presentation, all presenters are highly encouraged to use the aforementioned equipment provided in the session room.
  2. Using your laptop computer or other smart devices, as long as it is enabled with an HDMI output connection, is possible but not recommended. If it is unavoidable to use your laptop, the presenter should bring all the necessary adaptors that are compatible with our beam projector. Also, you must inform the staff stationed in the session room that you will use your equipment for the presentation.

For online presenter: The online oral presentations are performed based on pre-recorded videos.
Live Zoom broadcast will be available in four session rooms (Room1, 2, 3 and 5) and
online presenters can attend the session live and at least 3 minutes for a period of question-answering.
